Context:

 

The objectives in this lesson are designed to help students learn the concepts needed for the purpose of advanced formatting and editing in MS Word 97.  They will help the students understand how to work with multiple documents, check spelling & grammar, use a Thesaurus, find and replace text, create footnotes and endnotes along with printing in landscape orientation.  The objectives are also designed to teach students how to create a section with formatting that differs from other sections and create, apply and edit styles.

 

Materials/Technology:

                        Computers w/ Microsoft Office 97 software

                  Textbook:  Microsoft Office 97 for Windows 95: Tutorial & Applications

                  Computer on Wheels (COW)

 

Procedures:

 

NOTE:  Since this lesson plan consists of several days, the teacher will review the concepts taught the day before at the beginning of each day and review the concepts taught during the class period at the end of each class as a form of reinforcement.

 

  1. The teacher will review with the student the different concepts learned throughout the past several weeks such as:

·         The Normal View Screen

·         Switching between documents, entering text saving documents, and previewing & printing documents

·         The ability to change font style, size, color, and case of text.

·         The ability to change margins & tabs and create page breaks, headers & footers, and bulleted and numbered list

·         Desktop Publishing Techniques that include columns, drawing & manipulating objects, inserting & scaling clip art, borders, shading, templates and wizards.

 

  1. The teacher will explain that the next step in MS Word 97 is to learn advanced formatting and editing techniques.  The teacher will discuss the objectives to be taught throughout Chapter 6 of their textbook and give a brief explanation of each objective.  The teacher will also distribute a Self-Assessment Rubric to the students for the purpose of helping the students understand which objectives they have mastered and which ones they need assistance with.

 

  1. The teacher will begin by discussing how to work with multiple documents.  The teacher will explain that in MS Word, there can be many documents open at the same time.  She will also review with the students the quickest ways to activate a document when there are several opened (Window Menu or Title Bar).  The students will be required to complete Activity 6-1 on pg 146 of the textbook for the purpose of gaining hands-on-experience.  The teacher will use the COW for the purpose of demonstration.

 

NOTE:  From this point forward, the teacher or a student will use the COW (Computer on Wheels) for the purpose of demonstrating each activity within Chapter 6.

 

  1.  The teacher will explain that not only can text be copied & pasted within the same document but it can also be copied & pasted to other documents.  The teacher will ask the student if they remember the purpose of a clipboard.  The teacher will explain that this is when the clipboard is utilized as discussed in Chapter 3.  The students will complete Activity 6-2 on pg. 147 to gain hands-on-experience.

 

  1. The teacher will discuss format and style and explain that after one has spent time formatting a paragraph and developing a certain style, should that format and style need to be used in another part of the document, it can easily be done by utilizing the Format Painter Button.  The students will complete Activity 6-3 on pg. 148 to gain hands-on-experience.

 

  1. The teacher will explain what is meant by a Multipage Document and discuss the differences between working with a one page document and a multipage document.  The teacher will discuss the different concepts that are utilized when working with multipage documents such as:

The students will be required to complete Activities 6-4 through 6-6 to gain hands-on-experience with the items listed above.

 

  1. The teacher will review with the students how MS Word can automatically check your spelling as you type, make corrections automatically, underline in red those words that it doesn’t find in its dictionary, and underline in green possible grammar errors as taught in Chapter 3.  The teacher will explain how to use the shortcut menu to make corrections as you work or how to use the Spelling and Grammar command from the Tools menu to check your document after you finish keying it.  The students will be required to complete Activity 6-7 on pg. 156 to gain hands-on-experience.

 

  1. The teacher will explain the purpose of a Thesaurus (which is to find the synonym, a word with a similar meaning).  The teacher will discuss how to use the Thesaurus in MS Word by having the students access Language from the Tools menu and Thesaurus from the submenu.  The students will be required to complete Activity 6-8 on pg. 158 for the purpose of gaining hands-on-experience.

 

  1. The teacher will discuss the purpose of the Find and Replace commands within a document.  The teacher will explain how to use the Find command to quickly search a document for every occurrence of a specific word or phrase and will explain how to use the Replace command to replace a word or phrase in the Find What Box with another word or phrase you key in the Replace With Box.  The students will complete Activities 6-9 on pg. 160 and 6-10 on pg. 162 for the purpose of gaining hands-on-experience.

 

  1. The teacher will discuss with the students what footnotes and endnotes are and the difference between the two. (Footnotes are printed at the end of each page and Endnotes are printed at the end of the document)

·         Footnotes and endnotes are used to document quotations, figures, summaries, or other text that you do not want to include in the body of your document.

The students will complete Activity 6-11 on pg. 163 for the purpose of gaining hands-on-experience.

 

  1. The teacher will discuss the difference between printing in Portrait Orientation and Landscape Orientation such as:

·         Portrait Orientation - the page is longer than they are wide.

·         Landscape Orientation – the page is wider than it is long

Note:  documents with graphics or numerical information look better when printed in Landscape orientation.

The teacher will have the students compare Figure 6-13 and Figure 6-14 on pp 165-166.  The students will complete Activity 6-12 on pp 166-167 for the purpose of gaining hands-on-experience.

 

  1. The teacher will discuss that in Word, the default is the same page layout for an entire document.  But there is an option to divide a document into two or more sections to create different layouts within one document.  For example, from section to section of a document, you can have different headers and footers, page numbers, margins, and other formatting features. The students will be required to complete Activity 6-13 on pp 167-168 for the purpose of gaining hands-on-experience.

 

13.   The teacher will explain the meaning of style (a predefined set of formatting options that have been named or saved).  For example, one particular style could specify 12-point Times New Roman font, 1-inch margins, bold font style, and double line spacing.  The teacher will discuss that after defining a style, it can be applied to any text in a document.  The students will complete Activity 6-14 on pg. 169 to gain hands-on-experience in creating, applying, and editing a style.

 

  1. The students will be required to review the concepts listed above by completing the Review Questions at the end of Chapter 6 located on pp 171-172.  The students will also reinforce the concepts listed above by completing Applications 6-1 through 6-6.  The students will be required to submit the Chapter 6 Review, Applications 6-1 through 6-6, and the Self-Assessment Rubric for grading/assessment.

 

  1. The teacher will review the answers and questions to the Chapter Review and reteach as needed.  The students can use the Chapter Review as a study guide for the examination that will be given on Friday December 1st, 2000.

 

Student Assessment:

 

Students will be assessed on their ability to successfully complete the activities and concepts listed in the “Procedures” section of the lesson plan by completing a Self-Assessment Rubric (see attachment).  The students will also be given an examination on Friday December 1st, 2000 consisting of true/false, fill-in-the-blank, and application to test for comprehension.

 

Impact – Reflection/Analysis of Teaching and Learning:

 

This lesson had to be extended because the students were not able to complete all the activities, chapter review, and applications as listed in the procedures section of this lesson plan in the time allowed.  I extended the lesson plan an additional week to assure comprehension of the concepts by the students.

 

This was an effective lesson with the students because I demonstrated each activity by using the COW “Computer on Wheels”. I feel that the students were able to understand the concepts taught throughout the chapter because they could look at the COW at any point for reinforcement.  I also allowed a student to do the demonstrating and that allowed me to walk around and assist the students when needed.  I noticed that my students that had problems in the past with the concepts were completing the activities with more understanding.  This is a very effective way to teach because it allows me to see exactly which concepts each student is having problems with.

 

Refinement – Lesson Extension/Follow-up:

 

The students will be required at the end of the unit on MS Word 97 to utilize the skills learned during the unit in the production of a newsletter reflecting on current events in a club, organization, or sports team of their choice.  The newsletter will be assessed with a scoring rubric designed to assess the concepts taught throughout Chapters 3 - 6 of the textbook.
